Manage Your Collection

Your collection in TopVault represents the items you own and actively track. This page covers how to add items, record details, and keep your collection organized.

Adding items to your collection

There are several ways to add items:

  1. Open the Search tab and find the item.
  2. Open the item detail page.
  3. Use the add-to-collection action.
  4. Fill in details like condition or notes, then confirm.

Using the camera scan

  1. Tap the Add new button (center tab on mobile, top-right on desktop).
  2. Use the camera to scan a card, or upload a photo from your library.
  3. TopVault matches the image to its database and presents candidate matches.
  4. Select the correct match.
  5. Confirm to add the item to your collection.

From a trade

When you complete a trade, items on the receiving side are automatically added to your collection. See Trades for the full workflow.

Using multi-select

From the Search tab, activate Start multi-select, select multiple items, and tap Add in the selection bar to add them all at once.

Ungraded vs graded items

TopVault tracks two kinds of collection entries:

  • Ungraded items: cards and products without professional grading. These are tracked as standard collection entries.
  • Graded items: cards authenticated and graded by a professional service. When adding a graded item, you specify the authenticator (PSA, CGC, TAG, or AGS), the serial number, and the grade (for example, a PSA 10 or CGC 9.5).

Both types appear in your collection, but graded items include additional detail on the authenticator and grade.

Viewing your collection

The Collection tab is the main view for all your items. By default, items are shown in a list that you can filter and sort:

  • Sort by: Released, Name, Grade, Date Added, or Price.
  • Sort direction: Ascending or Descending.
  • Authenticator filter: Show items from a specific grading service, or show all.
  • Graded/Ungraded filter: Show graded items, ungraded items, or both.
  • View mode: Switch between list and tile layouts on wider screens.

Pull down to refresh the data at any time.

Item detail view

Tap any item in your collection to see its detail page. A collection item page includes:

  • Photo carousel: swipe through photos you have attached to this item.
  • Owner information: your profile linked to this entry.
  • Item metadata: card name, series, edition, variant, and rarity.
  • Pricing: current market value, grade-specific pricing, and trend charts.
  • Notes: custom notes you have added to the item.
  • History: transaction history showing how the item entered your collection.
  • Goal memberships: which goals this item is associated with.

Adding photos to items

From an item's detail view, you can add photos from your camera or photo library. Photos are attached to the specific collection entry, not to the database item. Your photos are private to your account.

You can:

  • Add multiple photos to a single item.
  • Set a default photo to use as the cover image.
  • Delete photos with a confirmation step.

For details on how TopVault handles photo storage and encryption, see Photos and Privacy.

Adding notes

Each collection item supports a custom note. Use notes to record:

  • Where or when you acquired the item.
  • Condition notes beyond the grade.
  • Purchase price or trade context.
  • Any personal details you want to remember.

Editing and removing items

From an item's detail view, you can edit the entry or remove it from your collection. Removing an item does not affect goals. The reference in any associated goal remains, but the association is cleared.

Tap Trends on the Collection tab to see a chart of your overall collection value over time. This shows how market changes affect the estimated value of what you own, with Daily, Weekly, and Monthly interval options.

Sharing your collection

Use the share button on the Collection tab to generate a link that others can view. Shared collection views are read-only and show your items with their metadata and values.

Suggested workflow

A solid routine for keeping your collection up to date:

  1. Add new acquisitions as soon as you get them. Scan or search and add.
  2. Attach photos while the item is in front of you.
  3. Associate with goals so your progress tracking stays current.
  4. Check trends periodically to understand how your collection's market value is shifting.
  5. Review and clean up: remove items you have sold or traded away so your collection reflects what you actually own.
